Medical Secretary - Harley Street - London

A boutique and long-established private practice clinic on Harley Street (central London), specialising in Child, Adolescent & Adult Psychiatry is seeking an independent and highly motivated full-time Medical Secretary to join our existing team. Our practice has significantly grown and is also employing more doctors as well as this full-time Medical Secretary role.

This role is very long term, you will be provided with extensive one-on-one coaching and training (from both our practice manager and other secretaries) to fully equip you to succeed in this role.

About Our Practice/Clients:

-      Our clients are all out-patients and hence without any severe symptoms. 40% of our clients are adults and 60% children, though your role will be interacting with the parents/adults.

-      Very high-net-worth and international, coming from a broad range of nationalities, religious backgrounds and foreign embassies.

-      1 full-time Psychiatrist and 1 part-time Psychiatrist. 

Role Description:

-      Taking phone calls

-      Typing clinical and non-clinical correspondence (letters and emails).

-      Some dictation, but not extensive.

-      Booking appointments (via email or phone)

-      Raising invoices, taking card details, chasing unpaid invoices (clients, insurers, embassies).

-      Client-facing role, greeting patients at times (note, we have a receptionist)

-      Extensive one-on-one coaching and training will be provided.

-      You will be working alongside of, and reporting into, our other full-time Medical Secretary.


-      Salary £25,000 to £33,000/year (plus pension/annual bonus on top).

-      Permanent / Full Time

-      Flexible/work from home arrangements.

You will be required to be onsite at our Harley Street clinic some weekdays, and other weekdays you will be required to work from home.

Experience/Professionalism Required:

-      5+ years as a Medical Secretary. Ideally within another high-end central London/Harley Street private practice.

-      Well presented and with outstanding telephone manner.

-      Highly professional and discrete, our practice deals with extremely sensitive patient records.

-      Familiarity with mental health terminology/conditions.

-      Sensitivity surrounding various religious holidays and observances.

-      Comfortable around children and young adults.

-      Experience dealing with Insurance Companies and Foreign Embassies.

-      Flexibility. Due to our high-end clientele and the demands that come from our client base (children from 5-18 y.o.) you will need to be very responsive to emails and phone calls from parents.

Administrative Skills

-      Highly competent user of Microsoft Word, Microsoft Excel and Outlook.

-      Meticulous attention to detail in spelling, medical terminology, invoicing and diary bookings.

-      Approx. 40 wpm typing speed, but not essential.
